Schedule: Monday–Friday, 7:00 AM–3:00 PM
Employment Type: 12-Month Contract
Work Arrangement: 100% Onsite

Important Physical Requirements

This is a hands-on records center position, not strictly a desk-based records role.

Candidates must be comfortable with:

  • Frequently lifting and carrying up to 35 pounds
  • Occasionally lifting and carrying up to 55 pounds
  • Using a safety ladder while retrieving or storing records
  • Standing and walking for extended periods
  • Handling physical files, records boxes, and other stored materials
  • Performing repetitive filing, retrieval, scanning, and material-handling activities
  • Working in a records center / warehouse-style environment
  • Driving a company vehicle for local records and interoffice mail deliveries

Records Retention Specialist Job Overview

We are hiring a Records Retention Specialist to support a major utility organization in Tampa, Florida.

This position is ideal for someone with experience in records management, document control, document imaging, scanning, filing, records storage, inventory, office services, mailroom operations, or records center environments.

The Records Retention Specialist will support both physical and electronic records management, ensuring documents and records are properly received, scanned, indexed, stored, retrieved, tracked, retained, and disposed of according to established policies and procedures.

The role combines records administration, physical records handling, customer service, inventory activities, and local courier responsibilities.

Key Responsibilities

  • Receive, process, organize, and maintain physical and electronic records
  • Scan, index, and enter documents into records management systems
  • Maintain accurate records inventory, file locations, metadata, and tracking information
  • Retrieve requested records and accurately re-file returned materials
  • Track records that have been checked out, transferred, or placed into storage
  • Support records retention schedules, disposition, archiving, and records destruction
  • Prepare records for authorized destruction and maintain required documentation
  • Perform quality-control reviews of documents, scanned images, and metadata
  • Maintain confidentiality and ensure appropriate access to company records
  • Assist employees with records retrieval, procedures, and system-related questions
  • Provide guidance on records management processes and established procedures
  • Maintain an organized, clean, and safe records center
  • Support inventory tracking and records center activity reporting
  • Assist with interoffice mail and records distribution
  • Drive a company vehicle for local pickup and delivery of records and business materials
  • Follow established safety, security, records-management, and customer-service procedures

Driving Responsibilities

This position includes local courier and delivery duties using a company vehicle.

Candidates must:

  • Be comfortable driving between company locations
  • Have a safe driving record for the previous three years
  • Be comfortable transporting records, files, and interoffice materials
  • Follow company vehicle and safe-driving procedures

Qualifications

  • High school diploma or GED required
  • 1+ year of records management experience preferred
  • Experience in records management, document control, document imaging, scanning, indexing, filing, records storage, office services, mailroom, inventory, or related operations preferred
  • Experience handling physical files, records boxes, inventory, or stored materials is highly desirable
  • Proficiency with Microsoft Word and Excel
  • Comfortable learning and using records management and document tracking systems
  • Strong organizational skills and attention to detail
  • Strong customer-service and communication skills
  • Dependable and safety-conscious
  • Comfortable working closely with a small team
  • Ability to perform both administrative and physical responsibilities throughout the workday
