Recruiter Coordinator – Talent Acquisition
Location: San Antonio, TX — Onsite, 4 days/week
Contract: 12 months
Experience: 2+ years
Rate: $20/hr. (Paid Weekly)
Position Summary
We are seeking a Recruiter Coordinator to provide administrative and operational support to a Talent Acquisition team supporting high-volume and non-complex recruiting. This role focuses on keeping the recruiting process organized and efficient, including interview scheduling, candidate communication, recruiting events, ATS data management, pre-employment activities, and onboarding coordination.
The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple calendars, candidates, and priorities in a fast-paced recruiting environment.
Key Responsibilities

Schedule and coordinate interviews across multiple time zones.

Coordinate candidate travel, lodging, transportation, and detailed itineraries when needed.

Support recruiting events such as job fairs, campus/early talent programs, and virtual events.

Communicate with candidates regarding interview details, application status, and onboarding activities.

Maintain accurate candidate and requisition information within the Applicant Tracking System (ATS).

Initiate and coordinate background checks, drug screenings, and pre-employment activities.

Support recruiters with offer letters, onboarding materials, expense reports, and other administrative tasks.

Track recruiting and onboarding metrics and maintain operational reports.

Coordinate with recruiters, hiring leaders, candidates, and external partners to resolve scheduling and process issues.

Identify opportunities to improve interview scheduling, onboarding, and overall candidate experience.

Maintain confidentiality and safeguard sensitive candidate information.
Required Qualifications

High school diploma or equivalent.

2+ years of experience in staffing, recruiting, human resources, administrative support, account relationship management, or a related field.

Strong organizational and time-management skills.

Experience managing multiple calendars, schedules, and deadlines.

Strong written and verbal communication skills.

Excellent attention to detail and accuracy.

Ability to handle confidential and sensitive information professionally.

Experience coordinating cross-functional tasks or projects.

Proficiency with Microsoft Office, particularly Outlook and Excel.
Preferred Qualifications

Recruiting Coordinator or Recruiter experience supporting high-volume recruiting.

Experience working with an Applicant Tracking System (ATS), particularly Workday.

Familiarity with recruiting processes and candidate screening.

Experience coordinating business travel and expenses, including Concur or similar systems.

Experience with recruiting CRM platforms such as Eightfold AI or similar tools.

Experience supporting recruiting events, job fairs, or early talent programs.

Experience with pre-employment background checks and onboarding processes.
Key Technology Skills

Microsoft Outlook: Calendar management, scheduling, inbox management, and interview coordination.

Microsoft Excel: Candidate-volume tracking, recruiting metrics, and operational reporting.

Workday: Candidate tracking, ATS activities, and initiating background checks.
Ideal Candidate Profile
The strongest candidate will be an organized recruiting or administrative professional who can manage high volumes of scheduling and candidate activity while maintaining accuracy and a strong customer-service mindset. Experience in recruiting coordination is preferred, but candidates with strong administrative, staffing, HR, scheduling, or account-support backgrounds may also be a good fit.
This role requires someone who demonstrates urgency, attention to detail, confidentiality, strong communication, and the ability to adapt to new technology and process changes.
