Position Overview

The Employment Coordinator is responsible for delivering a successful and consistent onboarding experience for new hires while supporting employee onboarding operations. This role coordinates critical onboarding activities, ensures timely completion of pre-employment requirements, maintains accurate employee information, and supports compliance with HR policies and procedures.

The Employment Coordinator will manage a high volume of onboarding activity, supporting approximately 100–200+ new hires per week across multiple locations. This position requires strong organization, attention to detail, customer service skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Coordinate daily onboarding activities and provide direct support to new hires, hiring managers, recruiters, and HR stakeholders.

  • Execute onboarding workflows and ensure pre-employment requirements are completed accurately and on time.

  • Support I-9 verification and E-Verify processes in accordance with applicable requirements and company procedures.

  • Coordinate new hire orientation and first-week onboarding logistics.

  • Maintain accurate employee records and data within HR systems.

  • Use Workday to support onboarding workflows, employee data management, and related HR processes.

  • Partner with Talent Acquisition, HR teams, hiring leaders, and external vendors to coordinate onboarding timelines and resolve issues.

  • Monitor onboarding activities, identify process gaps, and recommend improvements to increase efficiency and enhance the new hire experience.

  • Analyze onboarding data and feedback to identify trends, measure effectiveness, and support continuous improvement.

  • Maintain confidentiality and handle sensitive employee and candidate information with discretion.

  • Communicate clearly and professionally with candidates, new hires, recruiters, hiring managers, and other stakeholders.

  • Manage multiple onboarding activities, deadlines, and priorities simultaneously while maintaining a high level of accuracy.

Required Qualifications

  • 2+ years of progressive Human Resources and/or employee onboarding experience.

  • Hands-on experience with employee onboarding and HR operations.

  • Experience with Workday is required.

  • Experience with I-9 verification, E-Verify, employment verification, or pre-employment processes.

  • Strong organizational, multitasking, and time-management skills.

  • Excellent written and verbal communication skills.

  • Strong customer service and candidate/new-hire support skills.

  • High attention to detail and commitment to data accuracy.

  • Ability to work effectively in a fast-paced, high-volume environment.

  • Ability to collaborate effectively with HR, Talent Acquisition, hiring teams, and external partners.

  • Ability to handle confidential information professionally and discreetly.

Ideal Candidate

The ideal candidate has hands-on HR onboarding experience and is comfortable supporting a high-volume onboarding environment. They are highly organized, detail-oriented, customer-focused, and experienced with Workday and HR processes. The successful candidate can manage competing deadlines, communicate effectively with multiple stakeholders, and identify opportunities to improve onboarding processes and the overall new hire experience.
